Job Responsibilities :

  • Organize and manage the chairperson’s tight schedule, including important meetings, executive meetings, and other events.
  • Ensure that the chairperson always has a good understanding of their agenda.
  • Handle written and electronic communications on behalf of the chairperson, including letters, emails, and important business messages.
  • Provide initial responses to some communications and develop more detailed responses.
  • Provide information, reports, and analysis necessary to support the chairperson’s decision-making process.
  • Manage all aspects of chairperson business travel, including airline ticket bookings, accommodations, and transportation.
  • Arrange efficient itineraries and ensure chairperson comfort.
  • Organize and conduct internal and external meetings, and provide necessary materials and presentations.
  • Communicate with external parties, including business partners, customers, and other associates, on behalf of the chairperson.
  • Build and maintain positive relationships with external stakeholders.
  • Maintain a high level of confidentiality regarding important information and decisions.
  • Manage special projects that may be assigned by the chairperson.
  • Ensure that the projects run according to the plans and schedules set.
  • Proficient in software and office tools necessary to handle administrative and schedule management tasks.

Requirements:

  • Bachelor’s degree in a relevant field, such as business administration, secretary, law, or a related discipline.
  • Previous experience minimum 3 years as an executive assistant, personal assistant, or Secretary.
  • Familiarity with the responsibilities associated with supporting high-level executives.
  • Excellent written and verbal communication skills in English language is a must.
  • Strong organizational and multitasking abilities to manage the chairperson’s schedule and various tasks efficiently.
  • Proficient in using standard office software (Microsoft Office, email, calendar management, etc.).
  • Ability to work collaboratively with other members of the organization and support the chairperson’s leadership initiatives.
  • Already in Bali is more preferable.
  • Can join immediately is preferable.
